The National Black Nurses Association represents approximately 150,000 African American nurses from the USA, Canada, Eastern Caribbean and Africa, with 90 chartered chapters nationwide.

The 42nd Annual Institute and Conference will be held Wednesday, August 6 through Sunday, August 10, 2014, at the Philadelphia Marriott Downtown. The theme of the conference is: “NBNA: Influencing Diversity through Nursing Education, Policy, Practice, Research and Leadership.”

The Hotel, its owners, its operator, and the Philadelphia Marriott Downtown, shall be included in such policies as additional named insured’s. In addition, (EXHIBITOR) acknowledges that neither the Hotel, its owners, or its operator, maintain insurance covering ex-hibitor’s property and that it is the sole responsibility of (EXHIBI-TOR) to obtain business interruption and property damage insur-ance insuring any losses by (EXHIBITOR).

BOOTH ASSIgNMENT

Assignments will be made upon receipt of the Exhibitor Registra-tion Form and your payment in the order of which they are re-ceived. Every effort will be made to accommodate your preferred location. NBNA may, at its discretion, accept or reject any applica-tion for space and reserves the right to relocate or reassign exhibit booths at any time for the overall benefit of the conference.

EXHIBIT BOOTHS ARE REQUIRED TO REMAIN OPEN AND STAFFED DURING THE SCHEDULED HOURS. If you anticipate an early depar-ture,pleaseadvisetheNBNANationalOfficeExhibitCoordinatorassoon as possible.

pAyMENT

Payment or purchase order must be sent with the Exhibitor Regis-tration form to secure a booth space. Submit exhibit contract and payment by May 25, 2014. Checks should be made payable to NBNA, and mailed to:

CANCELLATION

All exhibitors canceling space will be charged a $250 processing fee. All requests for refunds must be made in writing and received bytheNBNANationalOfficebeforeJune 1, 2014. Refunds will be issued 90 days after the conclusion of the conference. No refunds will be granted after June 1, 2014. There is no refund for individual banquet or brunch tickets after July 31, 2014.

CONFERENCE REgISTRATION

Registration for all attendees will begin on Tuesday, August 5 at 3:00 pm in the Grand Ballroom Foyer on Level Five of the Philadel-phia Marriott Downtown. Attendees who registered in advance may check in at the registration desk and pick up all meeting mate-rials, including badges, special session tickets and conference pro-gram. On-site registration and individual ticket purchases will end at 2:00 pm on Thursday, August 7, 2014.

The attire for business sessions and educational sessions is busi-ness casual.

The Business Meeting (members only) is from 8:00 am to 10:00 am. The Opening Ceremony will begin promptly at 6:00 pm. If you are an exhibitor and a NBNA member, you must pay the conference registration fee in order to attend NBNA Business Meetings.

FRIDAy, AUgUST 8:

We will show our solidarity with women and heart health by wear-ing a red item of clothing or a red accessory.

ROOM REgISTRATION

The deadline date for making reservations at the Philadelphia Marriott is 5:00 pm. Eastern Time, July 12, 2014. After that date, reservations will be accepted on a space and rate availability basis. If the Group rate is not available, the Hotel’s rack rate will apply.

ROOM RATES

ROOM RATES: $159 USD for a single or double room. The room rate for triple occupancy is $179. The rate for quadruple occupancy is $199. The Philadelphia Marriott will honor these dates 3 days pre- and post-conference dates. There is no additional charge for children under age 18 sharing with a parent using existing bedding. Sales and occupancy taxes of 15.2%.

SUITES: The conference rate for a Deluxe One Bedroom Suite is $500 per night: Two Bay Hospitality Suites: $650 per night and the Marquis Suite is $725.00 per night. The prices quoted are for one bedroom suites. Please call the reservation number to confirm the availability of suites or the charges for a second connecting bedroom.

If you have any special needs or health conditions, please notify the hotel when making your reservations. The Philadelphia Marriott does offer ADA compliant King bedrooms with a tub and Double/Double rooms with an ADA compliant shower. See NBNA.org for scooter information.

ROOM gUARANTEE

The Philadelphia Marriott Downtown DOES NOT require the first night’s room and tax to be paid in advance to guarantee your reser-vation. You will be asked to provide a valid credit card to hold your reservation. The credit card guarantee shall serve to confirm the reservation for the dates requested.

CANCELLATIONS: Must be made 72 hours in advance of your scheduled arrival date. If you cancel your reservation after the 72 hour deadline, your credit card will be charged for one night’s stay. To cancel your reservation with no penalty, you must cancel at least 72 hours prior to arrival, request a cancellation number and retain for your records.

This exciting program is offered to increase the attendance and interaction between exhibitors and con-ference attendees. This initiative is sure to increase the

level of attendance by creating an atmosphere of fun, innova-tion, interaction, excitement, and determination in the exhibit hall. Sponsorships are designed to fit the budgets of every exhibitor. The greater the exhibitor and attendee participation, the greater the excitement in the exhibit hall. It is a win-win for both exhibitors and attendees!

ATTENDEES PARTICIPATIONhow will it work?All registered attendees will receive a PASSPORT and a PASSPORT RAFFLE TICKET when they receive their registration materials. In-structions on how to use the passport and qualify for the PASSPORT RAFFLE will be outlined on page one of the passport and in the conference souvenir program book. A final listing of the prizes will be included on the instruction page in the conference program book and posted at the Custom Agent’s station.

To be eligible to enter the PASSPORT RAFFLE, attendees will be required to visit 60 exhibit booths and have their passport stamped at each booth. Attendees will have Thursday, Friday and Saturday during scheduled exhibit hours to visit 60 exhibitors. Once the pass-port book is completed, the attendee will go to the Custom Agent’s counter to have the book inspected to verify that all of the pages or 60 squares have been stamped. Once the 60 squares have been verified, the PASSPORT and THE PASSPORT RAFFLE TICKET will be stamped “COMPLETE” by the Customs Agent. Attendees who have successfully visited 60 booths will receive a special Liberty Bell lapel pin.

Attendees are encouraged to keep their passports as documenta-tion of the many opportunities afforded to them at this year’s confer-ence. The PASSPORT RAFFLE drawing will take place before the general NBNA Grand Raffle on Saturday. Prizes will include popular electronic devices.

EXHIBITORSAfter the exhibitor receives their conference materials, an exhibitor staff person should report to the Customs Agent to receive several self inking stamps. Stamps will be distributed based on the number of staffers in the booth. Please only provide one stamp per passport when the attendee visits your booth. We want our attendees to step up to the challenge of visiting 60 different booths. When the attend-ees passport is filled with the 60 required stamps, they will have their passport and raffle ticket validated by the Customs Agent. Upon validation, the raffle ticket will be placed in the PASSPORT RAFFLE drum by the Customs Agent.

iMpOrtANt:NbNA rulES Of ENgAgEMENt At thE NbNA iNStitutE ANd CONfErENCE1. Sessions start on time.

2. You can get a CEU certificate upon completion of the class in its entirety and by submitting an evaluation form. The evaluation form is provided to you at the BEGINNING of the class.

3. If you arrive more than 15 minutes late after the session starts, you will NOT receive a CEU certificate.

4. If you arrive more than 15 minutes late after the session starts, you will receive a CERTIFICATE OF ATTENDANCE, but no CEU certificate.

5. You must stay in the room during the entire session in order to receive your CEU.

6. You cannot switch sessions.

7. You cannot receive a certificate for less than the hours scheduled.

8. If you do not get the certificate on the day of the session, you cannot get a certificate. You cannot come the next day afterwards to pick up your certificate. You must stay the entire time to get a CEU.

9. TheNBNANationalOfficestaffdoesnothaveCEUevaluationformsorCEUcertificates. You must get those from the Cedars Sinai Department of Nursing staff who are on site at the NBNA Conference.

10. There are no CEUs for Opening Ceremony.

11. Treat NBNA staff, paid support staff, volunteers, sponsors, exhibitors and hotel staff with respect.

12. Bring your business card and resume to share with sponsors, exhibitors and speakers.

13. The attire is business.

14. Do not place your CEU certificate in your conference book or bag.

15. If you are an exhibitor and also a member of NBNA, you must pay the conference registration fee if you wish to attend the NBNA Business Meeting.

16. If you are a speaker and also a member of NBNA, you must pay the Speaker registration fee if you wish to attend the NBNA Business Meeting.
