Screen Shots Script: The following steps provide a high level viewpoint of an Executive and a Project Leader as they utilize Emagineeringtm to manage the strategic “Regulatory Compliance” initiative. Each Strategic Initiative is created with associated Features (i.e. “goals”) and Deliverables (documents enterprise-wide in scope (i.e. Directive, SOP, etc.)). Initiative progress tracking is achieved by evaluating the phase of each Feature. The Steps in the presentation are as follows:

Step 1a: The Executive receives an e-mail report (Figure 1), which contains relevant information for all Initiatives. Each Initiative is given a status of either Green (“On Target”), Yellow (“Not meeting objectives”) or Red (“Serious trouble-Urgent”). The “Regulatory Compliance” link is selected because it has a status of red.

Step 1b: The Executive has the option of going directly into Emagineeringtm or they can use the sign-in screen to obtain access using a basic e-mail format (i.e. [email protected]).

Step 1c: The Summary Report View is the default view when signing-in from a linked report. For example, the “Compliance Costs September” summary (Figure 3) is displayed with the “Regulatory Compliance” tab activated. From this central location, the Executive can either view all the critical information, or search through the system using the menu functionality displayed on the left. With Obian’s easy to use navigation menus and tool bars, users have a short learning curve before they begin using the Emagineeringtm product.

Step 1c (alternate view): Since Emagineeringtm is easy to personalize, when the Executive-or anyone with the proper security-signs into the web-based application, another screen could be viewed as the default. For example, when the Project Leader-Alyvia Sutton-signs in, she views all the Initiatives she is “Signed-up” to (Figure 4) with associated hyperlinks for each one. Continuing with the “Regulatory Compliance” example, the Project Leader (PL) would click on this hyperlink to display a summary of the initiative.

Step 2: Each Initiative is created with relevant information such as “Objective”, “Budget”, “ROI”, etc. From this Summary view (Figure 5), we can determine the Project Leader and the frequency the executive receives the report. In order to determine what has caused this Initiative to be moved to a status of “Red-Urgent”, the Project Leader selects the “Open Issues” link on the left hand side to display all the open issues.

Step 3: Notice each issue has the same type of “traffic light” structure. Since the “Need Task Force for Liaison with FBI” (Figure 6) has a status of red. The Project Leader clicks on this link to display additional detailed information as to why this issue is critical.

Step 4: The Discussion board view (Figure 7) allows the Project Leader to view inputs entered by the participants selected to resolve the issue. The reason the issue is “Red”, is that there is a problem assigning a task force to support updating internal material with the latest FBI regulations.

Step 5: The Project Leader remembers there was a task force previously created to resolve the issue of updating internal directives for the “Bank Secrecy” and “USA Patriot Act”. Even though the issue was closed, every document and every version of each document is still accessible if the user has the proper authority (Figures 8-9). By selecting the red “+”, the Project Leader is able to see all previous versions of a document.

Step 6: The Project Leader examines the list of participants (Figure 10) to ensure the correct roles (i.e. Project Leader, Content Expert, Reviewer, etc.) have been assigned based on the Best Practices approach for successful project completion. Since the number of inputs (discussion, documents, etc.) is tracked with Emagineeringtm, the Project Leader can easily see who has contributed the most-and the least-to the issue.

Step 6 (continued): The Project Leader also has the ability to view the entire Team Directory (Figure 11) for the “Regulatory Compliance” initiative to determine if additional resources are available to sign up to the issue.

Step 7: The Project Leader then reviews the workflow to ensure this issue will be resolved prior to the next board meeting so the Steering Committee will be assured of total Regulatory Compliance. Since the Emagineeringtm workflow supports both serial and parallel approvers, the Project Leader can be assured of full agreement from all relevant parties.

Step 8: Satisfied she has been able to quickly access all the relevant information, the Project Leader contacts all the members of the team for a meeting using the “Request Input” link.
