RENTAL CONDITIONS Britz USA Camper rental includes Included in the rental amount are: 125 miles per day, preparation fee, transfers, convenience kits up to 4 persons, sales tax, Public Liability Insurance (Insurance up to $1,000,000 toward 3rd party claims); Premium VIP coverage (includes secondary and comprehensive and collision coverage for the rented vehicle with a deductible of $1,000 per accident), Uninsured Motorist, Windshield & Glass damage, Vehicle theft and fire, Vandalism.
Exclusions Not included in the rates are: Extra mileage charges (US$ 0,45 per mile), One Way fees, SunPass transponder (location in Florida), camping chairs, GPS, Wi-‐Fi hotspot, generator use. Colorado Road Safety Fee (location Denver), New Jersey security fee (location NYC) and other local or seasonal imposed taxes. All rates and conditions are subject to change as required and without prior notification.
Deposit and Credit card A security deposit of $1,000 will be authorized and blocked on the main driver's credit card. The security deposit is equal to the deductible and will be issued per accident. Accepted credit cards are: VISA, Master/Euro, and American Express. Additional deposits may be required/charged for special events such as Burning Man or if no mileage has been pre-‐paid, etc.
Refund for unused portion of confirmed contacts No refund will be given for delayed pick-‐ups / early returns, unused mileage or for no shows.
Cancellations Cancellation of a confirmed reservation is subject to a cancellation charge.

applicable • 29 to 15 days prior to rental date: 50% if the nightly rental charge + one-‐way fee if applicable • 14 to 0 calendar days prior to rental days 100% of the nightly rental charge + one-‐way fee if
applicable • < 0 days prior to rental date: No refunds are made for unused vouchers.
Sales Tax Sales tax is included in all prepaid items. All locally paid options and items are subject to sales tax.
Local / Additional options Costs of additional items which are to be paid locally, local surcharges and mandatory fees may vary and are subject to changes. The cost is only indicating, because the actual amount might change
during the course of reservation up to the point of pick-‐up. Any difference caused by exchange rate fluctuations is the renter’s responsibility.
Driver requirements All drivers must be 25 years of age or older and hold a valid driver’s license for at least 1 year. If the driver’s license is not in English an International Drivers License is required. A maximum age of 79 applies. Drivers between 21-‐24 require prior authorization. A valid national driver's license is required for each driver. In addition we recommend that foreign customers have an international driver's license or an English translation of the license issued by their home country. All drivers must meet the age requirement indicated above.
Minimum rental days A 7 night minimum applies to all rentals. Rate resets for camper rentals longer than 35 Days.
One-‐way rentals One-‐way rentals are on request. Additional charges are applicable for one-‐way rentals.
Booking amendments One free change per booking can be made 61 days prior to pick up. A penalty of $50 will be levied per change thereafter.
Airport Hotel Transfers TRANSFERS COMMON: Clients cannot pick up the vehicle the day they arrive with an inter-‐continental flight and we recommend therefore spending the first night in an airport hotel or motel. A priority shuttle service scheduling will be granted to customers who have supplied at least 72 hours in advance, via TO or online check-‐in, there pick-‐up location and how they can be reached to advise about the exact pick-‐up time. If customer should not have received such confirmation the day before pick-‐up until 4 pm, we advise the customer to call the pick-‐up rental station immediately but not later than 8 and 9 am of the departure day. If customers choose not to supply pick-‐up location 72 hours in advance, a complimentary shuttle service cannot be guaranteed.
TRANSFERS SFO: The convenient and inexpensive BART allows customers who stay in SFO downtown to arrive within 35 minutes at the BART train station in South Hayward instead of taking a 30 minutes taxi back to SFO airport hotels (US$ 50.00+) to catch the free shuttle (another 30-‐40 minutes). A free shuttle service between our branch and the BART train station South Hayward is provided when the customer informs us accordingly (see ‘TRANSFERS COMMON’). The train schedule can be looked up at: http://www.bart.gov/schedules/byline.aspx (select Fremont Daly City).
Los Angeles: Los Angeles Airport & hotels ( 40 miles free transfer ) San Francisco: San Francisco Airport & hotels ( 25 miles free transfer or use Bart train $11 pp ) Las Vegas: Las Vegas Airport & hotels (5 miles free transfer ) Denver: Denver Airport & hotels ( 20 miles free transfer ) New York: Newark Airport & hotels ( 35 miles free transfer) JFK airport or La Guardia Airport ( 60 Miles no transfer. Orlando: Orlando Airport & hotels ( 6 miles free transfer
Customer orientation Staff speaks German & English at all locations -‐ Dutch, French & Spanish at some locations. After completing the paperwork the clients get a very thorough personal walk-‐thru of the motorhome. In addition every vehicle is equipped with an operation manual in English/German. In case of an emergency, accident or technical problems, clients may call the emergency toll free number 24-‐hours a day, 7 days a week.
Hours of operation Monday through Friday from 8.00 am to 5.00 pm, Saturday from 8.00 am to 1.00 pm (or during season as required). All stations are closed on Sundays and all statutory holidays. Denver is closed between 1 December and 28 February.
Pick up and Return Vehicle pick up time is between 12.00 noon and 4.00 pm. To avoid waiting times all customers are asked to check-‐in online and to call the branch to schedule the pick-‐up time. Vehicle return time is between 8.00 am and 10.30 am. A charge of US$ 30.00/hour applies for a late vehicle return. After 11 am clients will not be entitled to get a complimentary transfer back to the airport or airport hotels.
Mileage The rental amount is including 125mile per day. Mileage exceeding the restriction will be charged locally for $0.45 per mile ex. Tax upon drop off.
Camping chairs Camping chairs are (subject to availability) calculated per chair, per rental.
Generator All vehicles are equipped with a generator. Usage of the generator is subject to a fee of $3 per hour and will be charged at time of drop-‐off of the vehicle.
Colorado Road Safety Fee All vehicle pick-‐ups in Denver are subject to a Colorado Road Safety fee of $2 per night with a maximum charge of $90 per rental.
New Jersey Security Fee All vehicle pick-‐ups in New York are subject to a New Jersey Security Fee of $5 per night with a maximum charge of $140 per rental.
Burning Man Surcharge All vehicle pick-‐ups in San Francisco between last week of August till first week of September are subject to a surcharge of $1000 & $500 for Los Angeles and Las Vegas. No exceptions. Vehicle Substitution If for any reason the booked vehicle should not be available, ROAD BEAR RV reserves the right to substitute a higher-‐rated vehicle at no additional cost. Should a lower-‐rated vehicle be substituted, the liability is limited to the refund of the gross rate difference of the two vehicles with maximum charge of $140 per rental.
RESTRICTIONS Pets: Pets are not allowed. Smoking: Smoking is not allowed in any vehicle. $250 cleaning/deodorizing fee applies. Mexico: Traveling into Mexico is not permitted. Death Valley: Traveling into Death Valley is not permitted between June 15th and September 15th Alaska: Traveling within Alaska, Yukon and/or NWT is permitted. Britz must be advised at the time of reservation. Other: Private-‐, gravel-‐, dirt-‐ or logging roads and other non-‐public roads, beaches, etc. Inner city of New York / Montreal & Quebec City (Canada)
>>Britz will hold the customer responsible for accidents or mechanical breakdowns occurring in a travel restricted area.
Gasoline, propane and oil The cost of gasoline, oil and propane is not included and Britz does not assume responsibility for estimates of consumption. All vehicles are delivered with full tanks and the customer is expected to return the vehicle with full tanks or will be charged accordingly. Maintenance The customer is responsible for checking engine oil and coolant levels at each refueling as well as reporting mechanical failures immediately. Coolant refills and authorized repairs will be reimbursed upon return of the vehicle and presentation of all receipts (see mechanical breakdown). It is the driver's responsibility to operate the vehicle in a safe manner and to exercise all caution possible. Mechanical breakdown For maintenance & repairs exceeding $50 the customer must call the Britz 24-‐hour toll free telephone assistance to get an authorization. Non-‐authorized invoices over $50 will not be reimbursed. Receipts must be presented for reimbursement. Customer will be held responsible for mechanical damage due to negligence in operation and/or maintenance. In the event of an accident • The customer must obtain a local police report as provided by the attending police officer
investigating the accident. An accident report form is supplied to the customer and is located in the vehicle along with the registration-‐ & insurance papers.
• Britz must be notified as soon as possible. A full-‐written report along with the other party's name, address, phone number and driver's license number on the supplied accident report form will be required upon return of the vehicle.
• All documents relating to the accident must include a police report-‐ or identifying number. • Insurance coverage may be void if the above instructions are not followed. Cleaning Fee The clients are responsible to return the vehicle with the interior cleaned and holding tanks dumped. The vehicle outside does not require cleaning by the customer. Cleaning-‐ and/or dumping charges will apply as posted at the drop-‐off location. Parking/Traffic Violations It is the clients responsibility to report and pay for all parking/traffic violations at check-‐in. Failing to report these violations at drop-‐off will cause a charge of an administrative fee of $100 plus the fine (including all late charges) to the clients credit card. Winterization In areas with temperatures below freezing point the water-‐/ waste water systems will be drained and CANNOT be used. US$100 re-‐winterization fee and damages caused by freezing will be charged if customer de-‐winterizes system on the road. Unauthorized extension of the rental period If the customer contacts ROAD BEAR RV and obtains the proper authorization to extend, the regular rental rate will apply.
Toll Road system in the Florida Keys Since February 2011 the Florida Turnpike Enterprise has implemented an all-‐electronic open road tolling for the southern 47 miles stretch of the Turnpike, from US1 in Florida City to the Miami-‐
Dade/Broward County line. The old tollbooths have been eliminated and the toll-‐fees cannot be paid in cash any longer.
There are the following options for payment to travel on the Turnpike:
1. Customers picking up in MCO may conveniently rent a Sun Pass transponder at the branch.
2. A SunPass Transponder can be obtained by calling 1-‐888-‐865-‐5352 or visiting www.SunPass.com. The transponder will allow traveling on toll roads by paying money into the personal SunPass account.
3. The “TOLL-‐BY-‐PLATE” program can be used as an alternative. This program captures an image of the vehicle license plate and bills the registered owner of the vehicle for the toll amount. The “TOLL-‐BY-‐ PLATE” program allows the customer to call in to register for a “TOLL-‐BY-‐PLATE” account and to pay for tolls before an invoice will be issued. Payments can be made by cash, credit/debit card on-‐line or through new payment kiosks located at major retail stores.
Florida State Law (Statue 316.1001) requires payment of prescribed tolls for the usage of toll facilities. Failure to comply with this statute may result in the assessment of a US$ 100.00 or more civil penalty, assessment of court costs, and suspension of the vehicle registration and/or suspension of the driver's license. It will be important for the customer to inform the Road Bear RV drop-‐off location of the fact that they traveled on the Florida Turnpike regardless of what option they choose. In case that an invoice for toll fees will be sent to Road Bear RV as the registered owner of the vehicle, all fees due will be charged to the customer’s credit card on file and processed according to our rental provisions with regards to traffic citations (incl. administrative fees).
Public Liability Insurance (secondary coverage included in the daily rate) Public Liability Insurance to cover accidents in the event that the renter is at fault. The policy protects the rental company up to US$ 1,000,000 and the renter to Statutory Limits (State mandated minimum liability coverage). Liability Insurance has no deductible and current limits can be checked under the following web-‐address: https://extranet.mbainsurance.net/choice/statelimits.php.
Supplemental Liability Insurance (SLI) The optional SLI coverage provides the customer with an increased limit of liability protection. SLI protects the renter and any authorized driver listed on the rental contract for up to US$ 1,000,000 toward 3rd party damage claims.
Premium VIP Coverage (included in the daily rate). VIP includes secondary comprehensive and collision coverage for the rented vehicle with a deductible of US$ 1,000.00 per incident (a US$ 1,000.00 Security Deposit will be authorized on a major credit card).
Coverage includes but is not limited to:
4. ·∙ Accidental damages to the vehicle (renter’s or 3rd party’s fault)
5. ·∙ “Uninsured Motorist“ in case the renter is involved in an accident with a non-‐insured driver
6. ·∙ Windshield & glass damage
7. ·∙ Vehicle theft and fire (personal property and items in the vehicle are always excluded)
8. ·∙ Vandalism No insurance coverage is provided (liability or comprehensive & collision) while traveling into non-‐authorized areas including but not limited to the country of Mexico, the inner cities of New York, Montreal and Quebec (Canada). Non-‐Covered Damages (including but not limited to) Customer has full legal and financial responsibility in case of:
·∙ Renters negligence, e.g. backing up without a guide, following incorrect GPS guidance, etc.
·∙ Breach or violation of the rental contract
·∙ Damages to the interior of the vehicle
·∙ Damages caused by freezing or overheating of vehicle or systems (please refer to “Winterization” as well)
·∙ Deliberate and willful damages caused by the renter or his guests
·∙ Damages caused to the vehicle by abuse or misuse for illegal activities
·∙ Damages caused by neglecting proper operating procedures, e.g. incorrect fuel type & quality, ignoring oil or coolant levels, air pressure etc.
·∙ Damages and losses caused during travel in or thru restricted areas and damages due to “off-‐road” usage
·∙ Damages and accidents caused under the influence of alcohol, drugs or other controlled substances
·∙ Damages and injuries caused by overloading the vehicle and/or exceeding the legal towing capacity (towing limit – 1500 lb maximum with proper equipment)
·∙ Carrying more passengers than having seat belts available
·∙ Operation of the vehicle by anyone not listed on the rental contract or having a valid driver license
·∙ Operation of the vehicle by anyone not meeting the age requirements as shown on the rate sheets and rental terms & conditions
·∙ Personal damages and personal property are never covered Vacation Interruption Protection (VIP) Should the renter’s motorhome vacation be interrupted by an automotive mechanical breakdown (not accident or damages caused by the renter) for more than 12 working hours after reporting such to Britz USA the renter will be reimbursed for the greater of the gross daily rental rate or expenses for hotel rooms up to US$ 25.00 per person per night and car rental up to US$ 50.00 per day per motorhome with a combined maximum of US$ 1,500.00 per tour. Defects and repairs of WiFi, GPS, radio, TV, CD or DVD player, generator, AC, refrigerator, heater, water heater, slide-‐out room, awning, cruise control etc. are not considered mechanical breakdowns and are excluded from VIP reimbursement. Refund of expenses is only possible against proper receipts.
Please take note: In case of a claim, Britz USA will not act as an adjuster for any third party insurances purchased by the renter (such as $ 0.00 deductible insurance, etc.).
